POSITION OVERVIEW

The Office Manager at Elevate Ventures serves as the first point of contact for all members, visitors, and stakeholders, ensuring a welcoming and professional experience. This role is responsible for managing daily office operations, supporting Elevate’s membership community, and assisting with internal and external events (as needed). The ideal candidate is highly organized, customer-focused, and proactive in fostering a vibrant and efficient workspace. This is an in-office position and opportunities to work from home will be limited.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Front Desk & Guest Experience

  • Act as the first point of contact for all visitors, members, and stakeholders, providing a warm and professional greeting.
  • Handle phone calls, emails, and general inquiries efficiently.
  • Provide basic hospitality services, such as ensuring refreshments and lounge areas are well-stocked.

Office & Facilities Management

  • Oversee the daily operations of the office, ensuring the space is organized, clean, and well-maintained.
  • Manage the master calendar, including scheduling for conference rooms, event spaces, and podcast studios.
  • Coordinate with vendors for office supplies, facility maintenance, and service providers.
  • Assist staff and members with troubleshooting technology issues.
  • Oversee mail distribution, office supply inventory, and workspace accommodations.
  • Maintain security procedures, managing access codes, key fobs, and visitor protocols.
  • Help manage OfficeRND, Brivo, and other systems that pertain to facility operations.

Membership & Community Management

  • Serve as the primary point of contact for members utilizing Elevate’s space.
  • Manage and support membership contracts, ensuring smooth onboarding and ongoing communication.
  • Foster a community-oriented environment by engaging with members and addressing concerns that can’t be otherwise handled.
  • Maintain accurate membership records and ensure access to necessary facilities.

Event & Meeting Support

  • Assist with internal and external events hosted at Elevate’s spaces, ensuring a seamless experience.
  • Support event logistics, including setup, breakdown, and coordination with vendors.
  • Work with the marketing team to promote events and initiatives within the office.
  • Ensure meeting spaces are properly prepared and equipped for scheduled bookings.

Administrative & Leadership Support

  • Provide administrative assistance to the leadership team as needed, including scheduling and coordinating travel.
  • Assist with special projects that enhance the overall office experience and brand presence.
  • Gather feedback from members and visitors to improve services and operations.

QUALIFICATIONS

  • 3+ years of experience in office management, hospitality, coworking spaces, or community engagement preferred.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Ability to work independently while maintaining a high level of professionalism.
  • Familiarity with office management software, scheduling tools, and membership platforms (experience with OfficeRND and Google is a plus).
  • Comfortable assisting with light tech troubleshooting and workspace logistics.
